Save time next season

Your first schedule took a few minutes. The next one should take less than one. Here are the two shortcuts that make that happen, plus where to change your organization’s details.

  1. 1

Save the jobs you run again and again

If the same jobs come up every time (reading buddy, cashier, greeter), save them once as Roles. Press Roles on your Schedules page, then fill in the Add a role form at the bottom: the job’s name, what it involves, and the fewest and most people it needs. Press Add role.

You can Edit a role at any time, or Retire one you don’t use any more. Retiring doesn’t touch schedules you’ve already made.

Your saved jobs fill in new schedules for you

Once you have roles, every new schedule starts with them already filled in: names, descriptions and how many people each needs. Press the ✕ next to any job that isn’t running this time, or change the numbers.

Good to know: prefer an empty form? Press Start from blank instead. Your roles then show as buttons you can tap to add one at a time.

The Jobs section of a new schedule already filled in with Reading buddy, Book fair cashier and Take-home folder copying, under a green note: Filled in from your 3 roles. Change anything, or remove what isn't running this time. Start from blank instead.

Copy a schedule to next month

When November is running and it’s time to set up December, open November’s schedule and press Duplicate at the top.

    1. Change the Title, for example to “Reading Buddies — December”.
    2. Choose the new Month. The same weekdays are used, so Tuesdays and Thursdays stay Tuesdays and Thursdays.
    3. Check the What you’ll get box, which lists every new date, then press Create schedule.

What you’ll see: the new schedule with the same jobs and staffing, ready to share. It has its own new link, and nobody’s sign-ups are copied across.

Good to know: duplicating a one-day event works the same way, except you pick a new date instead of a month. Handy for next year’s book fair. Closed on one of the new dates? On the new schedule’s page, press the ✕ above that date to remove it.

    Update your organization's details

Press Settings at the top of any page to change your organization’s name, then press Save. The new name shows straight away on every sign-up page and in the emails your volunteers get.
